Privacy Policy

Effective October 5, 2026

1. About This Policy

This Privacy Policy describes how Relay may collect, use, store, process, and disclose information when users access Relay or use its transaction coordination services. Relay is currently under active development and may be offered through private beta, pilot, or limited-access programs.

2. Information We May Collect

Relay may collect account information such as name, email address, organization, team, role, authentication information, and account preferences. Relay may also process transaction-related information provided by authorized users or connected services, including property information, contracts, documents, transaction parties, contact information, deadlines, commission information, referrals, communications, tasks, and workflow history.

3. Information From Connected Services

When a user authorizes Relay to connect with another service, Relay may receive information permitted by that connection. These services may include real estate transaction platforms, brokerage systems, CRM platforms, e-signature providers, email services, document storage systems, and related business applications. Relay will only access connected-service information within the permissions granted by the user and the applicable provider.

Gmail Connection

If you connect Gmail, Relay can read the conversations you select for a transaction and send messages you approve. Relay stores the selected email text, sender and recipient headers, dates, and attachment names to show your deal inbox. This version does not download email attachments or use inbox content for AI training. Gmail information is used for transaction coordination, not advertising. Disconnecting or replacing your Gmail connection removes its cached inbox conversations from Relay's active database; existing transaction documents and sent-message records remain subject to the retention policy below. Relay's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including its Limited Use requirements.

4. How We Use Information

Relay may use information to provide and improve transaction coordination services, authenticate users, organize transactions, review documents, identify deadlines, manage workflows, prepare communications, assist with commission and referral workflows, support integrations, detect errors or missing information, maintain audit records, provide customer support, and protect the security and integrity of the platform.

5. Artificial Intelligence Processing

Relay may use artificial intelligence to review documents, extract transaction data, summarize information, identify potential issues, draft communications, and assist with transaction workflows. Information submitted for AI processing may be transmitted to authorized technology providers that help Relay provide these functions. Relay is designed to maintain human review and approval for sensitive transaction, contractual, commission, payment, and external communication actions.

6. Transaction and Contact Information

Real estate transactions may contain personal information about buyers, sellers, agents, lenders, title or escrow professionals, attorneys, and other transaction participants. Users are responsible for ensuring they are authorized to provide and process this information through Relay.

7. How We Share Information

Relay may disclose information to service providers that support hosting, authentication, databases, artificial intelligence, communications, security, analytics, integrations, and other infrastructure necessary to operate the service. Relay may also disclose information when directed by an authorized user, when required by law, or when reasonably necessary to protect users, Relay, or others.

8. No Sale of Personal Information

Relay does not sell personal information. Relay does not provide transaction or user information to advertisers for their independent advertising purposes.

9. Data Security

Relay uses reasonable administrative, technical, and organizational measures designed to protect information from unauthorized access, loss, misuse, alteration, or disclosure. No internet-based system can guarantee absolute security, and users should protect their credentials and promptly report suspected unauthorized access.

10. Access Controls

Relay is designed to restrict transaction information based on organization, team, role, transaction assignment, and authorized permissions. Access to information may differ for agents, team leaders or rainmakers, transaction coordinators, administrators, and brokerage personnel depending on configured permissions.

11. Data Retention

Relay may retain information for as long as reasonably necessary to provide the service, maintain transaction and audit history, satisfy contractual or legal obligations, resolve disputes, enforce agreements, and protect the platform. Retention periods may vary depending on the type of information and applicable business or legal requirements. Relay is not a permanent records archive and does not promise indefinite availability. Agents and brokerages must maintain their official transaction files separately. The pilot does not currently apply a fixed automatic purge period to transaction documents or saved sent-message records; this is not a promise of permanent retention. Cached Gmail conversations can be removed when unlinked or when Gmail is disconnected or reconnected. Download available records before those actions. Exports include available stored documents and message records, but not original Gmail email files or Gmail attachment contents. Email text may be shortened. Privacy requests are handled subject to applicable requirements; deleting active records does not promise immediate deletion from backups.

12. Account Deactivation and Historical Records

When a user leaves an organization or team, access may be deactivated while historical transaction records, approvals, communications, audit events, and other business records are preserved when necessary for legitimate business, compliance, security, or legal purposes.

13. Cookies and Authentication

Relay may use cookies or similar technologies that are necessary for authentication, security, session management, preferences, and operation of the service.

14. Third-Party Services

Relay currently uses third-party technology providers to operate portions of the platform and may add additional providers as the service develops. Third-party services are governed by their own privacy and security practices when information is processed within those services.

15. Children's Privacy

Relay is a business platform intended for real estate professionals and is not designed for use by children. Relay does not knowingly collect personal information directly from children for account registration or use of the service.

16. Privacy Requests

Users may contact Relay regarding questions about personal information, access, correction, deletion, or other applicable privacy rights. Certain information may need to be retained where required for transaction records, security, compliance, contractual obligations, or applicable law.

17. Changes to This Policy

This Privacy Policy may be updated as Relay develops, adds integrations, or changes its data practices. Updated versions will be posted on this page with a revised effective date.

18. Contact

Questions regarding this Privacy Policy or Relay's privacy practices may be directed to the Relay operator through contact information made available through the Relay service or its official communications.
